This Privacy Policy explains how TRIALNAV, LLC ("TRIALNAV," "we," "us") handles information collected through the TRIALNAV OASIS™ platform and trialnav.org. We are HIPAA-aligned by design: the platform processes operational metadata (trial complexity, staffing, budgets, timelines) and does not require or knowingly ingest patient-level protected health information (PHI).

2. Information we collect

• Account information: name, work email, organization, and role, provided when you request a demo or create an account.
• Operational data: trial metadata, staffing records, and related fields your organization submits to the platform.
• Usage data: log data, device information, and interaction data collected automatically when you use our website or platform.

3. How we use information

• To provide, maintain, and improve the OASIS™ platform.
• To respond to demo requests and support inquiries.
• To generate aggregated, de-identified analytics that improve our staffing acuity methodology.
• To communicate product updates, with the ability to opt out at any time.

4. Data security

Data is encrypted in transit and at rest using industry-standard protocols. Access is role-based and limited to authorized users within your organization, with audit logging on account activity.

5. Data sharing

We do not sell your data. We may share information with service providers who support platform operations (e.g., hosting infrastructure) under confidentiality obligations, or when required by law.

6. Data retention

Operational data is retained for as long as your organization maintains an active subscription, plus a limited period afterward to support data export, unless a shorter period is requested in writing.

8. Cookies and website analytics

With your consent, this website uses Google Analytics 4, provided by Google, to understand how visitors use the site, for example which pages are viewed, how visitors arrive, and whether the demo trailer is played. Google Analytics sets cookies (named _ga and _ga_*) that assign your browser a random identifier. We have disabled Google Signals and advertising features, do not use this data for advertising, and retain it for 14 months.

Visitors in the European Union, the European Economic Area, the United Kingdom and Switzerland are asked for consent first: no analytics cookies are set and no analytics data is collected unless you click "Accept" in the cookie banner. For all other visitors, analytics is enabled by default, and you can opt out at any time.

You can change your choice at any time through the "Cookie settings" link at the bottom of every page. If you decline or opt out, only your choice is remembered in your browser and no analytics data is collected.

Under the same consent rules, we also use the LinkedIn Insight Tag, provided by LinkedIn. It lets LinkedIn show us aggregated, anonymized reports about our website visitors, such as the industries, company sizes and job functions of visitors who are LinkedIn members. These reports do not identify individual visitors to us. LinkedIn may set cookies for this purpose and processes this information under its own privacy policy.

The demo booking calendar and survey on our demo page are provided by our scheduling provider and are subject to its own privacy practices.
